Your main tasks
The Customer Service Office Coordinator position is responsible for supporting the CUS team with travel, organization of schedules, parts coordination and accurate delivery, and daily office tasks. The CUS Office Coordinator is also responsible for planning, developing, and hosting in house trainings for both customer and Mikron personnel. These trainings shall cover all Mikron Denver support automation platforms, as well as other key subject areas as required. The CUS Office Coordinator will also ensure that the training schedule is kept up to date, and the MDE Training Center is professional, well equipped, and customer focused.
Essential Duties & Responsibilities
- Review and approve Concur expense reports, invoices. and travel requests, including hotel credit card authorizations.
- Coordinate preparation for customer visits including training at Mikron Denver.
- Synchronize with Customer Service team for parts coordination and delivery.
- Review and distribute Salesforce cases.
- Provide customer service phone support during normal business hours.
- Provide back-up support to Reception front desk.
- Communicate and implement office policies and procedures
- Follow up support for unpaid customer invoices.
- Full support of Mikron Denver CUS office including but not limited to mail, shipping items, management of CUS inventory and items stored on premises, scheduling meeting and conference rooms, ordering and inventory of office supplies, vendor deliveries, office schedules and front desk phone calls and voicemail.
- Ability to learn and work effectively within various business systems (Concur, Envoy, Paylocity, Microsoft Office Suite, etc.)
- Partner with Finance, Human Resources, IT, and related teams on new hire onboarding, reporting and reconciling company related purchases and costs as needed.
- Ability to set agendas, take meeting minutes, and manage action items as requested.
- Coordination of International and Domestic travel arrangements.
- High level of customer service with a strong ability to work in a positive manner with a multitude of personalities and varying expectations.
- Self-Motivated, self-managed, with the ability to self-organize and determine and coordinate assistance based on level of urgency and need.
- Maintains Customer and Internal Confidentiality
- Responsible for accurately and timely generating Customer Service documentation.
- Other duties as assigned by the Customer Service Manager.
Required Education, Experience, Knowledge, & Skills
- Previous office support experience and/or Administrative Assistant experience
- Excellent written and verbal communication skills; ability to understand and judge the right communication style for the audience
- Highly refined organizational skills, specifically related to time management and scheduling
- Demonstrated ability to be proactive, take initiative, exercise good judgment, maintain discretion and confidentiality in all tasks; resourcefulness is key
- Ability to understand and meet deadlines and time sensitive issues in a fast-paced environment
- Incredible attention to detail and accuracy
- Ability to create and/or modify processes and scale best practices around scheduling and other tasks associated with this role
Additional Requirements
- Must be eligible to work in the United States
- Must be available to work overtime
- May be required to work off shift hours and Holidays
- Must have a valid state Driver license
