Your main tasks

The Operations Administrator is responsible for assisting the production department with the successful execution of its daily operations. In this role, the Operations Administrator will take responsibility for assisting the Production Manager and Production Supervisors with ensuring daily operations are able to successfully meet the departments key performance metrics– on-time delivery, within budget and quality.

Essential Duties & Responsibilities

  • Support daily production order confirmations in ERP system to support assembly, debug, and machining processes.
  • Support daily material requests in ERP system to support assembly, debug, and machining processes.
  • Production metric reporting through Power BI tools.
  • Support resource planning and adjustment in Visual Planner system. Provide real-time resource allocation changes as needed.
  • Assists Production Manager and Production Supervisors with calendar and email management, categorizing importance levels and responding to non-emergent requests as needed.
  • Collaborate with Production Manager and Production Supervisors to streamline production activities.
  • Acts as department liaison between staff and other departments.
  • Daily collaboration with technicians and assemblers to support project or production needs.
  • Communicate with purchasing on requested project need dates for expediting material.
  • Attend daily and weekly production meetings, take minutes, and email overview of minutes and action items to attendees.
  • Coordinate preparation of biweekly and monthly team meetings.
  • Interface with employees via phone, email, and face to face upholding Mikron’s values.
  • Support ordering of department operational expenses where needed and assist invoicing approvals.
  • Support inventory management of production materials.
  • Identifies, creates and maintains documented SOP policies and procedures for department.
  • Supports Production Manager with job description edits or additions, as well as execution and completion of change memos and other documentation as directed.
  • Review and approve all Concur travel requests and expense reports.
  • Books and manages travel arrangements for staff within the department through Concur.
  • Manages and supports timecard entries and other time tracking within multiple Mikron software platforms.
  • Assists Production Manager with PTO requests and other absence requests within the department. Communicates with HR regarding any leave eligible absence needs.
  • Ability to set agendas, take meeting minutes, and manage actions items as requested.
  • Other duties as assigned by the Production Manager. 

Required Education, Experience, Knowledge, & Skills

  • Microsoft Office, Microsoft Excel is required.
  • Previous office support experience and/or Administrative Assistant experience
  • Prior executive or supervisor calendar management experience required.
  • 1-2 years of SAP experience a plus.
  • PDM/PLM, ERP experience a plus.
  • Able to work with different jobs function during project phases.
  • Capable to support production supervisors in coordination of project resources requests and forecasting.
  • Ability to prioritize activities to support Production team in pursuit of key metrics.
  • Keep sufficient inventory of production materials.
  • Drive daily work activities with the production team.
  • Excellent written and verbal communication skills; ability to understand and judge the right communication style for the audience.
  • Highly refined organizational skills, specifically related to time management and scheduling
  • Demonstrated ability to be proactive, take initiative, exercise good judgment, maintain discretion and confidentiality in all tasks; resourcefulness is key
  • Ability to understand and meet deadlines and time sensitive issues in a fast-paced environment
  • Incredible attention to detail and accuracy
  • Ability to create and/or modify processes and scale best practices around scheduling and other tasks associated with this role

Additional Requirements

  • Must be eligible to work in the United States
  • Must be able to travel as requested
  • Must be available to work overtime
  • Must be available to work hours necessary to meet deadlines.
  • May be required to work off shift hours and Holidays
  • Must have a valid state Driver license and be eligible to obtain a passport for international travel.

Pay Range

  • $70,000 to $85,000 per year
